Accounts Payable
Allows you to develop an extensive vendor history, and is capable of printing IRS Form 1099. Provides data entry listings, purchase journals, invoice release registers, checks, check registers, and cash requirement reports. Is fully interfaced to all applicable systems and allows for access to multiple bank accounts, general ledgers, and performs automatic allocation across general ledger accounts.
Database Management
Report Generator: The date file structure permits easy generation of complex report programs. Multiple file assessing: subtotaling and totaling at numerous levels, and summing and averaging at each level can be easily achieved. Allows the merging of data to a variety of third-party products.
Fixed Assets
This system is fully integrated with all related applications, including general ledger. Provides a good audit trail that includes physical inventory capabilities. Has the ability to mass add similar assets without reentering redundant data elements for each assets. Prints physical inventory count sheets, lists assets by serial number, general ledger account number, and location.
General Ledger and Financial Statements
Allows you to account for up to 99 ledgers for 99 projects in each ledger, utilizing the HUD-prescribed chart of accounts numbering system. Twelve-digit general ledger, budget and obligated funds chart of accounts. Provides automatic closing of books at fiscal year end and allocates defined income and expense accounts on a percentage basis for project-based budgeting purposes. Will print year-end forms HUD 52595, HUD 52596, and HUD 52599 directly on the HUD prescribed forms.
Inventory Control
Provides either a centralized or decentralized inventory with up to 100 locations. Interfaces to General Ledger System to Work Order System for costing items used in repairs. Provides a comprehensive tracking of all relative activities for each product. Interfaces with the Purchasing System to automatically update inventory balances upon receipt of inventory items.
Maintenance Work Orders and Preventative Maintenance
Automatically produces work orders for both preventative maintenance and cyclical maintenance from a predetermined basis. Allows for on-line data entry and automatic printing of work orders, including extensive reporting and analysis capabilities. Employee time and inventory costs for both chargeable and non-chargeable hours and items may be recorded at a standard rate or may be input as the work progresses. Interfaces with both Tenant Accounting and Maintenance Inventory Systems.
Payroll/Personnel
Easily tailored to specific authority needs. Includes automatic tax calculations, up to 24 additional deductions, check writing, check register, quarterly reports, W-2 reports, and departmental accounting by employee. Additional features include an easy allocation of payroll costs to various cost centers, a comprehensive personnel database, and an automatic accrual of annual leave/sick leave, and fringe benefits.
PHMAP/PHAS
Provides for the consolidation of Tenant Accounting, Maintenance Work Orders, and vacancy histories into a computer generated worksheet with supporting details of all indicators. Data retrieval can be done by department or area at any time.
Purchasing
Distributes purchase orders to multiple general ledgers and account numbers and has encumbrance capabilities. Produces a product reorder report, a purchasing analysis report, as well as various other reports. Generates a vendor evaluation report showing price variances between quoted and paid, delivery delays, and back orders. Interfaces with the Maintenance Inventory System to update stock levels as shipments are received and to automatically create requisitions. Interfaces with Accounts Payable System for vendor information and to transfer purchase order data and receipt information.
Section 8 Accounting
Automatically produces interim and monthly checks for landlords and residents, and has the capability of interfacing to multiple ledgers. Includes additional applications, such as inspections, reexaminations, portability accounting and family self-sufficiency. Includes a comprehensive tracking system of all resident changes and the HUD Form 50058 magnetic media processing. Capable of printing IRS Tax Form 1099.
Tenant Accounting
Provides a proven "open item" system that fully complies with the most recent federal reporting requirements. Allows for extensive demographic and historical reporting. Application includes utilities tracking, reexaminations, negative rent and family self-sufficiency. Both a vacancy board tracking system and PHMAP/PHAS monitoring are included, along with the HUD Form 50058 magnetic media processing.
Tenant Applications
Allows for entry of all applicant, family member, and employer information for low-income housing and Section 8 programs. Automatically calculates priority and positions on the waiting list per the point system, plus automatically sets up database for tenants when housed.
